Branch demand · system map

From the kitchen asking to procurement buying

Kitchen and front of house ask the branch store. What the store can't give goes up — through the manager — to procurement, who turn it into a purchase order.

01 · Kitchen / FOH
Raise a demand The chef or FOH lead lists what they need for service.

02 · Storekeeper
Check the store Each line is either given from the branch store, or passed on as a demand to buy.
In stock → issue to kitchen Short → send up as a demand
Approves the demand for his store.
03 · Manager team
Branch manager approves Checks quantities against covers and budget. Can approve, or send it back with a reason. Sent back is a conversation, not a refusal — the storekeeper corrects and resubmits. Whoever raised it cannot sign it.
04 · Procurement head
Final approval Only after the branch manager has approved. Checks the buy and signs it — or sends it back with a reason. Approved → the purchase order is made next. Nothing is bought until both have signed.
After approval
05
PO is made
One per supplier, linked back to the demand. Runs the procurement loop.

06
GRN at the branch
Supplier delivers; the storekeeper receives against the PO — short and damaged noted.
07
Branch stock updated
Posting the GRN adds it to the branch store, at the received cost. Kitchen / FOH can now be issued — and the POS sells from it.
