Item / Product Master
Every item used by Purchase, Inventory, Kitchen, Sales and Reporting. Supplier and price columns differ by city — set the City filter to fill them.
A dash means not recorded yet, never zero. Stock and stock value arrive with receiving; open PO and next delivery with ordering; DMI and daily issuance with store issues in Phase 3. Hover any dash for the specific reason. Supplier and price fill in once the City filter names a city.

Identity
What this item is
Allocated on save, from one company-wide series.
For narrow columns and printed documents.
Enters the stock ledger. A stock-tracked item needs a base unit.
Classification
Department → Section → Family → Sub-family. Only the department is required.
Units
Stock is always held in the base unit — that is locked, and every later module depends on it.
Stock is counted in this unit. Only base units are listed.
What the supplier sells in.
Only needed where no standard conversion exists — a carton holds a different number for every item.
Barcodes
Two items cannot share one
Exactly 13 digits, from the manufacturer.
For goods that arrive without a printed code.
Attributes
How it is handled and stored
Describes the goods.
Makes an expiry date mandatory when this item is received. Separate from perishable — a cut broken down in-house is perishable with no printed date.
Flagged for closer attention on reorder and variance reports.
Prices
Enterable now, and only now
Item prices are entered once, when the item is created, and then held until the Pricing module arrives in Phase 4 — which is where price changes will be made, with a reason and a history behind them.
Image and notes
Optional, and easy to change later
JPEG, PNG or WebP. The server resizes to 800px and keeps only that — the original is never stored. Replacing or removing an image deletes the one it replaced.
Import items
Rows are validated before anything is written. A row that fails is skipped and reported — never guessed at, and never allowed to overwrite an existing item.
Categories & units of measure
The hierarchy every item is filed under, and the units it can be bought and issued in. Changing a base unit is blocked once an item has movement.
